How to translate PDF text without risking the original file
Separate text translation from full layout preservation before choosing a workflow.
Check whether the PDF contains selectable text.
Extract and translate the text, then review important terms.
Keep the original; full layout preservation requires OCR and a Plus document engine.
Text first, layout second
Translating a PDF really means translating its text: the tool extracts the selectable text, sends it for translation, and gives you the translated text to review and download. The original PDF's design — fonts, columns, image placement — stays with the original file. This separation is deliberate and honest: a translated text you can read and reuse, rather than a broken imitation of the original layout.
Scanned documents need OCR first
Translation requires extractable text, so the first check is always selectability: if you cannot highlight a sentence in the PDF, it is a scan. For scans, convert pages to images (PDF to JPG) and read them with Image to Text (OCR) first, then translate the recognized text. Skipping this check is the most common reason translation 'fails' — there was no text to translate.
Reviewing a translation
Machine translation handles general prose well and stumbles on terminology: product names, legal phrases, and domain jargon deserve a human check. Review the output for the terms that matter in your document, verify numbers and dates survived unchanged, and keep the original PDF as the authoritative version alongside the translation.
Keep the original
Work on extracted text rather than editing the file: the source PDF stays the master, and the translated TXT or exported document is a new artifact. Comparing the translation against the original is the only reliable quality check.
Be accurate, not fluent
Review critical terms - dates, names, numbers — word by word before relying on the translation. For legal, medical, or contractual content, treat the output as a first draft for professional review, not a certified translation.
Reference for reviewers
When sharing the translation, note that it is a text-only output and provide the original alongside it. Reviewers catching a misphrasing need the source at hand.
